Account Number Options

Nationwide Toll Free Number 
A unique nationwide toll free number. All extensions and voicemail boxes will be accessible through this number.

New accounts are assigned a generic toll free number. However, you may request an 888 or 800 prefix. Instantly search for a vanity number (i.e. 1-800-FLOWERS, 1-888-AUTOMOBILE) during signup. Vanity number activation takes
2-3 business days.

Local US Number
The VirtualOne Premier Local plan includes a US local number of your choice with 1,000 included minutes from most U.S. cities, regardless of your geographic location. Callers can call your VirtualOne account via both your local and toll free number. All local area codes available, including 516, 631, 718, 917, 212, 646, 845 and 914

Advanced Features

Auto-Attendant / Custom Main Greeting
When a caller dials your toll free number, the custom main greeting plays a recorded message giving the caller different options to choose from. For example, "Thank you for calling ABC Company. Dial 1 for sales, 2 for support, 8 for the dial-by-name directory, or 0 for the operator."

Multiple Mailboxes/Extensions
Each VirtualOne account has multiple mailboxes available for use by departments, employees and/or information purposes. Create the impression of a single office, regardless of the actual geographical locations of employees. Each mailbox has its own virtual office features, including password protection, voicemail, live call forwarding, message notification, and much more.

Dial-by-Name Directory
Once a mailbox/extension has been assigned a name (for example, "Sales" or "John Doe" or "Smith") using the Web Administration page, the dial-by-name directory will automatically be updated, ensuring that callers will reach the appropriate department or person.  This feature dramatically increases your company's image of efficiency, as a dial-by-name directory is typically associated with large corporations.

Unlimited Voicemail Capacity
Each voicemail box on your toll free number can hold an unlimited number of voicemail messages.  Messages can be accessed by calling into the toll free number and can be forwarded as audio attachments to any e-mail address and viewed and stored online with the Web & Email Delivery feature.

Live Call Forwarding with Music-on-Hold
Also known as Find Me/Follow Me.  While callers are on hold listening to music, this feature locates you at your home, office or cell phone to deliver the call to you. You can select certain times of the day and days of the week for taking calls at different numbers. This creates the impression of a single office, regardless of whether you and your employees work from different geographical locations. For international call forwarding, a credit card authorization form has to be on file.

Music-on-Hold
Your business will provide callers with a new level of professionalism and confidence with music-on-hold as they wait to be transferred to a live representative. There are several types of music to choose from, or you can customize your music-on-hold by uploading your music. The caller can also be put back on hold, simply by dialing ##.

Our voice talents can also customize your music-on-hold by adding messages and information about your company.

Call Announce/Screening
During live call forwarding, when you answer the phone, the system can instantly transfer the caller to you, it can ask you if you would like to accept the call, or can send them directly into voicemail. You are also able to hear the caller's name and the mailbox from which they are calling from before choosing to accept the call.

Live Extension Transfer
Transfer callers between extensions/mailboxes just like a large corporate phone system. For example, a support rep in Boston can transfer a caller to a sales rep in Los Angeles.


Virtual Calling Card
Each mailbox on your toll free number can function as a calling card.  Using your toll free number and PIN, you are able to make outgoing calls from any phone, anywhere in the country.  This feature is great for salespeople and/or during emergency situations. Credit card authorization form has to be on file for this feature to be activated.

Call Return from Mailbox
While listening to a voicemail, you can instantly call the caller ID number of a voicemail without having to write down the number and dialing the number manually.

Dynamic Operator Extension
The operator extension (0) can be assigned to any mailbox on the toll free number so that any employee or department can also be designated as the operator.

Caller ID with Time Stamping
All calls are logged with the Caller ID and message time in real time, accessible online. Caller ID’s of voicemails can also be checked via the phone while listening to messages.

Day & Night Mode / After-hours Greeting
Each system has the ability to have day/night modes. Callers hear different greetings during the day and night. The system can forward callers directly into voicemail after a certain hour.

Conference Calling
Each mailbox on your toll free number has the ability to make conference calls to a designated number of participants. Credit card authorization form has to be on file for this feature to be activated.


 

Fax Features

VirtualFax
Receive faxes on your toll free number and forward them to any fax machine.  With the Web & Email Delivery feature, all faxes are also converted into picture files and forwarded to your email account for you to save, view and store on your computer. 

Faxes are recognized automatically, whether the caller presses the send button on their fax machine, or their fax machine automatically transmits the fax. The document is saved in the general mailbox for you to forward to a fax machine.

Fax-on-Demand
Each mailbox in your toll free system can have fax-on-demand capabilities.  You can store important documents such as manuals and price sheets, in different mailboxes so that they may be requested by callers instantly.

1) You load fax documents for storage in your system by faxing the document from your fax machine.
2) Callers call from any telephone and enter their document number
3) A stored fax will be sent out to their fax machine within seconds, as part of the same call.


 

Administration Features

myGotVMail - Web Administration
This feature allows you to administer your VirtualOne account online. Access the main system set-up options, live call forwarding numbers, call reports, account history, billing, support center and other administration tools instantly via the web.

Web & Email Delivery - Most popular feature 
Listen to voicemails and view faxes online via myGotVMail. Email delivery converts voice and fax messages into audio or picture files and are forwarded to your email address as attachments. Listen to and save messages on your computer. This tool is invaluable for productivity.

 

 

Notification Options

Telephone/Pager Message Notification
After a message has been left, the mailbox can call you immediately to notify you, page you,  and/or, with the optional Web & Email Delivery feature, convert the voicemail into an audio file (or picture file for faxes) and email it to you as an attachment and also text your mobile phone.  This feature eliminates the need for you to repeatedly call your voicemail to check if you have any messages, and gives you the confidence of never missing a vital message.

SMS Text Messaging Notification
In addition to being notified via phone and email, your mailbox can also send a text message to your mobile phone.

Text messaging works with the following providers: AT&T, Verizon, T-Mobile, Nextel, Sprint PCS


 

Marketing/Sales Features

Q&A Scripting
Each mailbox has the ability to ask callers multiple questions. For example, you can have a set of 10 questions that the caller must answer. After each question is answered, the caller dials # and hears the next questions. The answers are recorded into one voicemail. Great for order taking and call screening.

Virtual Marketing Extensions
Give callers automated company and service information via sub-menued information extensions.  This is especially practical as a sales and marketing tool.

Rotational Mailboxes
This feature is for sales-oriented companies who want to forward sales calls to different salespeople, on a rotating bases. When a caller dials the toll free number, they are forwarded to a random mailbox and salesperson.

Virtual Holding Extension (ACD Queues)
Large corporations put callers on hold with music until a representative answers the phone. Now you can too. This feature allows you to place a certain number of callers on hold until you answer the phone. Each ACD Queue can be designated to forward callers to a set number of employee/department mailboxes. Pricing is per Queue extension.


 

Organizational Features

PBX Connect
Some small businesses already have an existing PBX Phone system in the office, with each employee having a separate extension. With PBX Connect, your GotVMail toll free number will be able to integrate with your existing telephone system. Now both in-office and mobile employees can be under one toll free number.

For example, Employee 1 works in the office with her own phone and extension. Employee 2 works at home. With PBX Connect, Employee 1's mailbox on the toll free number can forward callers to her office phone and extension and employee 2's mailbox can forward callers to her home phone.

Employees no longer have to have callers forwarded to a dedicated local phone number. In addition to cell phones, home phones, and office phones, their GotVMail mailbox can now forward callers to their extension on the corporate phone system.

The only requirement is that your existing office PBX phone system has to have an auto attendant main greeting where callers have to dial an extension. This feature will not work with offices where all calls are answered by a receptionist.

Multiple Distribution Lists
Record and forward voicemails and faxes to other GotVMail toll free numbers and mailboxes. Create different lists for various purposes.

This process usually takes 1-2 weeks, depending on your local provider. In the meantime, we will provide you with a temporary toll free number so that you may begin setting up your system and recording greetings.

Search for and reserve a custom toll free number instantly. Activation takes 24-48 hours.
